This page explains what personal information Ken’s Auto Spares collects when you order from our online shop, book work, get in touch or visit this website; why we collect it; who we share it with; how long we keep it; and your rights. If anything is unclear, just ask us.
Who we are
Ken’s Auto Spares Limited is responsible for your personal information (the “data controller”).
- 2-4 Carey Road, Bulwell, Nottingham NG6 8AT
- Registered in England, company number 01776790. VAT number GB416344272
- Questions about your information: [email protected] or 0115 927 3651
What we collect and why
When you order from our online shop
We collect your name, billing and delivery address, email address, phone number, what you order, and the payment and delivery status of your order. We use them to take payment, deliver your order or have it ready to collect, send you order updates and your VAT invoice, and deal with any return or refund. We need them to carry out our contract with you, and the law requires us to keep invoices.
Card payments are handled by WooPayments, our shop’s payment service, which is powered by Stripe. Your card details go straight to them: we never see or store your full card number. They may run fraud checks on payments.
When you book work with us
Bookings made at booking.kensnottingham.co.uk go into our own booking system. We collect your name, contact details, your vehicle’s details and the work and time you choose, so we can do the job, contact you about it and keep a record of the work for any guarantee claim.
When you get in touch
If you use our enquiry form, email us, call us, or message us on WhatsApp, Facebook or Instagram, we keep what you send and your contact details so we can answer, quote and follow up. The enquiry form also notes which page you sent it from and, if you accepted cookies, how you found our website. We do this because you have asked us to, and because we have a legitimate interest in helping our customers.
WhatsApp, Facebook and Instagram are run by Meta, which handles messages sent through them under its own privacy policy.
If you start a checkout but don’t finish
When you type your email address or phone number into our checkout, we save them as you go, together with your first name, the items in your basket and, if you accepted cookies, how you found our website. If you don’t complete your order, we may send you one reminder email with a link back to your basket, and we may get in touch by phone or WhatsApp to ask whether you need any help. If you’d rather not hear from us about it, use the link in the email or just tell us. We do this because we have a legitimate interest in helping customers who started an order. We don’t add you to a mailing list and we don’t share these details with anyone else.
After your order
A couple of days after your order is sent, we may email you once to ask how it went and to invite a Google review. It is never more than one email per order, and every one has a link to stop them.
When you visit this website
To keep the site working and protect it from attacks, fake orders and spam, our website and its security service (Cloudflare) record technical details such as your IP address and browser type. We do this because we have a legitimate interest in keeping the site and our customers safe. Analytics only happens if you say yes to cookies (see below). Two exceptions: when an order is paid, our website tells Google Analytics about the sale itself (see below); and if you arrive from one of our Google adverts, we count taps on our call, WhatsApp and booking buttons, and enquiry forms, against that advert, so we know which adverts work. That uses the advert reference Google puts in the page address; nothing is stored on your device, and the count is not linked to your name.
Who we share it with
We never sell your personal information, and we don’t send marketing newsletters. We share only what is needed, with:
- our card payment service (WooPayments and Stripe);
- delivery companies, such as Royal Mail, UPS and Yodel, and the trusted partners who pack and send some orders for us;
- the companies that provide our order and stock system, our website and booking hosting, website security (Cloudflare) and our email (Google Workspace);
- Google, for website analytics and advertising measurement, only if you say yes to cookies, and to count our paid orders (the order number, total and items, never your name or contact details);
- our accountants, and HMRC, the police or other authorities when the law requires it.
They may use your information only to provide their service to us, or where the law requires.
Information sent outside the UK
Some of these companies, such as Google, Stripe, Cloudflare and Meta, may handle information outside the UK. When they do, it is protected by safeguards that UK data protection law accepts, such as the UK–US data bridge or approved contract terms.
How long we keep it
- Orders, invoices and payment records: at least six years after the end of the financial year they belong to, as tax and company law requires, and longer while they help us deal with you, for example with a guarantee claim or a repeat order.
- Bookings and records of work we have done for you: at least six years, for our accounts, and longer while they help with guarantees or repeat work.
- Enquiries, messages and unfinished checkouts: for as long as they help us deal with you, for example to answer a question, follow up a quote or look after repeat work.
- Your cookie choice: twelve months (see below).
Your rights
You can ask us to:
- give you a copy of the information we hold about you;
- correct anything that is wrong;
- delete it, unless the law says we must keep it (invoices, for example);
- limit how we use it, or stop using it for a particular purpose, such as checkout reminders or review emails;
- send it to you, or to another company, in a common digital format.
If you said yes to cookies, you can change your mind at any time (see below). To make a request, email [email protected] or call 0115 927 3651. It is free, and we will reply within one month.
If you are unhappy with how we have handled your information, please tell us so we can put it right. You can also complain to the Information Commissioner’s Office (ICO) at ico.org.uk/make-a-complaint or on 0303 123 1113.
Cookies and analytics
When you first visit, we ask whether we can use cookies for analytics and advertising measurement. Until you choose, and if you choose No thanks, no analytics or advertising cookies are set. Your choice is remembered on your device for twelve months; clear your browser’s data for this site to be asked again.
If you choose Yes, that’s fine:
- Google Analytics 4 shows us how the site is used (pages viewed, buttons pressed such as call, book or WhatsApp, enquiries sent), with IP addresses anonymised;
- Google Ads measurement shows us whether our adverts led to a call, an enquiry or an order;
- WooCommerce notes which website or advert led to an order;
- if you call a number shown on our website, Google may show a forwarding number so we can see that the call came from the website; Google tells us the time, length and area code of the call, not who called;
- we remember the last service page you looked at for seven days, so your enquiry reaches the right person.
Whatever you choose, when an order is paid our website sends Google Analytics a record of the sale: the order number, the total and the items bought. It never includes your name, address, email or phone number, and it needs no cookie. If you said no to cookies, the sale is counted without any link to you or your visit. We do this because we have a legitimate interest in knowing how many orders the website brings in.
Google’s cookies begin with _ga and _gcl, and WooCommerce’s with sbjs_. How Google uses this data: policies.google.com/technologies/partner-sites.
Always on, because the site needs them to work (no consent needed):
- basket and checkout cookies, set when you add something to your basket;
- a security cookie (kens_ok) that tells our website you are a real visitor rather than a bot; it holds no personal information and lasts seven days;
- security cookies that Cloudflare may set to protect the site;
- small settings our site keeps in your browser: your cookie choice and your delivery choice in the basket.
Some of our service pages show videos from TikTok. Nothing loads from TikTok until you tap play; when you do, TikTok’s player may set its own cookies, under TikTok’s privacy policy.
Changes to this policy
If we change how we use personal information, we will update this page. The date at the top shows the latest version.
